These Terms and Conditions form the foundation of your learning contract. By enrolling in a qualification course at HCALondon College (HCA), you enter into a legal agreement between you, the “Learner,” and HCALondon College (HCA).

These terms apply to all learners who register for Ofqual Regulated Qualifications directly through the HCA website (www.hcalondon.co.uk) or through any authorised third-party platforms.

1. Course Registration and Access

Learners will receive course registration and login details for the Virtual Learning Environment (VLE) within 48 hours of successful course enrolment.

Access to the VLE is granted only after the payment of tuition fees, either in full or as per an agreed instalment plan.

Learning resources will be provided exclusively via the VLE.

2. Course Delivery

Course materials include units/modules, assessments, and supporting documents in formats such as PDF, Word, Excel, and PowerPoint.

No video lectures or live sessions are provided unless explicitly stated in the course description.

Tutor support is available via the VLE or email for academic assistance.

3. Duration and Access

Course durations range from a minimum of 1 week up to a maximum of 12 months from the date of enrolment.

VLE access expires after 12 months unless an extension is granted.

Course extensions (up to 6 months) may be available for an additional fee, subject to sufficient course progress.

Terms and Conditions are the foundation of a learning contract. Being part of HCALondon as a learner, this is a contract between “learner or Learner(s)” and “HCALondon (HCAL)”.

The following terms and conditions are essential to fulfill by the learners if they register with HCALondon (HCAL) directly (from our website www.hcalondon.ac or through third-party website(s)):

  • The learner will receive the requirements for registration email within 24–48 hours of the course purchase. If you have not received the registration requirements, contact HCAL via email.

  • After fulfilling the registration requirements, the learner will receive the course registration & login details for the online portal (Learning Platform/VLE) from HCAL within 24 hours. If you have not received your course login details, contact HCAL via email.

  • Access to the VLE/Learning Platform is granted only after HCAL receives the learner’s tuition fee (in full or first instalment).

  • In case of paying qualification fees via instalments, learners must pay their regular instalments on time. If an invoice remains pending for more than 3 days, the learner will be suspended from the course.

  • If HCAL agrees to a fast-track fee with instalment payments, learners must still pay on time. A 3-day delay on the first invoice leads to suspension. To reactivate, learners must pay the remaining balance in full. Two missed or late instalments will move the learner to the normal pace (6 or 8 months).

  • A £20 reactivation fee applies if an account is suspended due to non-payment.

  • HCAL will apply for a certificate only after receiving the full course fee.

  • Learners may enroll in multiple courses/qualifications simultaneously and complete them in parallel.

  • Only fully enrolled learners are eligible to apply for exemptions or Recognition of Prior Learning (RPL).

  • To apply for RPL, learners must complete the RPL form and submit it with supporting evidence.

  • Final decisions on RPL are subject to awarding body EQA approval.

  • HCAL will not assess or forward RPL applications if any tuition/instalment fees are outstanding.

  • Learning materials will be provided via the Learning Platform/VLE only.

  • Course materials include course units, access to the VLE, assessments, quizzes (if required), and study links in PDF, Word, Excel, PowerPoint, or other formats. No video or live lectures are included.

  • Learners can contact their online tutor via the VLE or email for study assistance.

  • Minimum time to complete an HCAL Ofqual Qualification is 6 months; maximum is 12 months. VLE access lasts 12 months from enrollment. After this, a one-time fee (awarding body registration + assessment marking) is required.

  • Fast-track learners (4 months) must pay in full. Instalment options are not available.

  • Learners unable to complete the qualification within the extension must re-register and pay the full fee.

  • Course, qualification, certification, and registration fees are non-transferable. Refunds are only available within the 14-day cooling-off period if the learner has not logged in or accessed materials.

  • After 12 months, VLE access ends without notice. Learners may contact HCAL via email for support.

  • The course duration may be extended up to 6 months with additional charges if the learner has shown progress. HCAL reserves the right to approve extensions.

  • Qualifications contain mandatory and optional units covering various learning outcomes and credit hours.

  • Assessment method is assignment/report writing.

  • Certificates will be claimed from the awarding body after grading by the assessor and internal verifier (IV).

  • Hardcopy certificates (where applicable) will be delivered or emailed. If only PDFs are issued, hardcopies are available at extra cost.

  • Refunds (excluding £80 for Registration, Processing, and Refund Charges) are available only within the 14-day period under Consumer Contract Regulations 2013, and only if the learner has not accessed the course or contacted tutors/admins.

  • Learners must provide accurate and complete information at the time of registration. Failure to do so may result in termination/suspension.

  • Learners are responsible for keeping their VLE login credentials secure. Sharing or disclosing credentials may lead to suspension/termination.

  • HCAL accepts payments via Bank Transfer, Western Union, PayPal, and Credit/Debit Card. Other methods are not accepted.

  • Awarding body registration fees are non-refundable.

  • Each qualification has entry requirements. HCAL may reject enrollment if these are unmet.

  • Proficiency in English and ICT is required for all courses.

  • Courses are open to learners aged 16 and above. Certificates are not issued to those under 16.

  • HCAL communicates via official email and social media channels. HCAL is not liable for scams from unofficial sources.

  • Campus-based programs are available for UK residents. Online programs are open to international students.

  • Learners may not switch courses once enrolled.

  • Learners must report any inaccuracies or dissatisfaction with course material within 24 hours of accessing it. No complaints will be entertained after this time.

  • If HCAL cannot provide course material, a full refund will be issued.

  • Complaints must be sent via email and will be addressed within 24 hours.

  • Access to subsequent modules is given only after passing the previous module's assignment. Grading may take 5–7 working days.

  • Final assessments may include assignments or MCQ tests.

  • Assignments are graded as Pass, Referred, or Fail. Learners may resubmit once if needed. A third attempt (if referred again) will incur a £30/module fee.

  • Learners are enrolled in Module 1 upon registration. Enrolment in the next module follows successful completion of the previous one.

  • Assignments graded as Pass on first attempt cannot be resubmitted to improve the grade. Learners may consult tutors before submission for guidance.

  • Late or referred assignments can only be resubmitted if the learner actively engaged during the course.

  • Tutors will provide feedback/results within 7 working days of submission. Technical delays will be communicated.

  • Learners must retain soft copies of all assignments until course completion, as they may be requested by the awarding body.

  • HCAL is not liable for disruptions due to Force Majeure Events.

  • HCAL reserves the right to change awarding bodies during enrollment. The qualification level will remain the same.

  • HCAL reserves the right to deny refunds, extensions, continuation, or certification in case of terms breach, without notice.

  • These terms and conditions are governed by the laws of England and Wales. Any disputes shall be subject to the jurisdiction of the courts of England and Wales.
